As modern-day business owners, it’s important that we spend the majority of our business hours on productive work, minimising the time we spend on administering our business. Over the next few weeks, I’ll be sharing a weekly time-saving tip with you, to help you be more productive in your role as a small business owner.

Time-saving Tip: Use Email Templates

Don’t reinvent the wheel. Automate your repetitive work, by using email templates. You’ll save so much time, by not retyping the same text over and over again.

Examples could be: common responses to enquiries, sending off a testimonial request, sending your onboarding pack to your new clients, follow ups after phone calls, meeting agendas and thank you notes. You’ll probably find that you are sending the same messages out routinely, so save your time by setting up email templates.

You can setup ‘email forms’ in Microsoft Outlook and ‘canned responses’ in Gmail.  On your iPhone, you can even use the Note app to setup template emails, or you can use a clever iPhone app called Crisp email template keyboard, for $2 which allows you to send and reply to emails and texts, with pre-set templates. Using templates in your email client is free and can save you two to three hours each week. Think about it – this time adds over over a year.

Here’s a sample ‘Testimonial Request’ email template that I use in my business:

Hi ____,

How are you doing? I hope your week is going well.

I am refreshing the content on my website and I was hoping you could do me a favour by giving me a quick testimonial that I could use on the testimonials page on my website?

I’d appreciate this very much. I’ve included some prompters below to assist:-

What assistance did I provide to you?

What benefits my assistance provided to you?

What did you like the most about working with me?

What specific services were the most helpful?
