Partner with your assistant to manage your inbox
For busy managers who receive hundreds of emails daily, all you need to do is sit down with your assistant and set an agreed daily inbox process. One savvy executive that I worked for had the following process and it worked a treat, to maintain Inbox Zero.
You can see from the graphic, that the process involves the PA taking care of the day-to-day routine emails, leaving the core business emails (emails that require decisions), for the manager to deal with.
For super-busy managers, this process is repeated multiple times throughout the day by the PA (eg 9am, 1pm and 4pm), with the manager reviewing the inbox during ’email block-out times’, or between meetings. For a lower inbox influx, at the beginning and end of the work day, would suffice.
Another option, is to setup a “For PA Action” folder in the Inbox and the manager moves any inbox items over to this folder, for the PA to deal with.
Now, go setup a meeting with your assistant and save yourself time by reducing the number of emails that you need to deal with.
